Request for Proposal Document
Request for proposal (RFP) refers a formal manuscript that organizations and companies form to stimulate possible external contractors and vendors. The RFP identifies specific project details that are essential to the customers (Johns, 2002). A quality RFP gives the best proposal hence resulting in improved project’s process and outcomes. It also initiates appraisal criteria for evaluating proposals. This essay seeks to explore the details of the request for proposal document by focusing on its components and impacts on the information scheme outcome.
An RFP constitutes a project outline, background details on the supplying company, purpose, objectives, timeframe, technical and official necessities, contacts, project committee, evaluation criteria, specifications, work scope, and budget (Morrissey, 2004). The background gives a brief overview of the activities of the organization and the information of the vendor including names and contact address. Objectives should be specific and realistic with a clear indication of the audience. Job scope gives details about the tasks that a successful bidder will perform and timeframe allocated for submission (Beyond, 2002). Buyer’s requirements include mechanical knowledge, educational details, and work experience.
Selecting a company’s information system is very important but time-consuming and costly. An RFP provides a well-organized project committee, which members with various professions (Morrissey, 2004). These personnel assists in selecting computer software and hardware, technology infrastructures, and applications. RFP process helps attract a pool of contractors where the organization chooses the best bidders for the proposal hence resulting in the best project outcome. The evaluation criteria provide a platform for grading the result at every stage (Rosenberg, 2003). An RFP contains a timeframe indicating the duration of monitoring and submission of the final copy thus, improving information system reliability.
